BCSLA ANNOUNCEMENT – MARCH 18, 2020 - Updated November 12, 2021


Following an urgent meeting of the BCSLA Board of Directors Executive Officers on March 16th we have made the difficult decision to cancel the BCSLA 2020 Conference, originally scheduled for June 11 - 13, 2020. With the changing concerns of the COVID-19 Pandemic and the restrictions on large gatherings, the BCSLA Board of Directors exercised concern in making this decision early to have the least impact on presenters, exhibitors, attendees and the community.  

On February 5, 2021 the Provincial Health Officer (PHO) order to suspend all events and social gatherings was extended indefinitely.  We will strive to host the Annual BCSLA Conference in 2021.  We are well positioned for this, as many program components, including the theme - Back to the Garden, have already been drafted. The Board will review options for moving to a hybrid format for the 2021 Annual Conference and Showcase.  This means that the BCSLA Continuing Education volunteers may be  able to organize a smaller in-person meeting, while providing a virtual participation option to ensure all Members, Associates and Affiliates have the option to attend.  

Society AGMs COVID-19 Updates

In keeping with the requirements of our Bylaws, we have reviewed meeting options for the BCSLA Annual General Meeting to conduct the business of the BCSLA.  On March 23, 2021 the BCSLA Board of Directors passed a Motion to hold the 2020/2021 Annual General Meeting using an online format on Saturday, July 10, 2021.  DOWNLOAD THE 2021 BCSLA AGM PACKAGE HERE. 

The date and venue for the 2022 BCSLA AGM will be announced in 2022.  Plans are underway to organize a hybrid meeting with in person and virtual attendance options. Watch this space for details. 

It is important that Societies and those individuals involved with Societies follow guidelines and recommendations set forth by the Provincial Health Officer, BC Health Minister, and Canada Health guidelines in regards to COVID-19. See NEW decision of the Registrar of Companies on timing of meetings.   In light of COVID-19, a  decision of the Registrar of Companies  has been made to provide an option for societies that wish to delay their annual general meeting.

In recognition of the impact of COVID-19 The BC Registrar of Companies, extended the date by which a society must hold its annual general meeting under section 71(3) of the Societies Act to such date as the Registrar of Companies may authorize which falls not later than November 1 of the calendar year immediately following the calendar year in which an annual general meeting of the society would otherwise be required to be held under section 71(1) of the Societies Act. 

Societies now have the option of hosting virtual or hybrid meetings even if the society’s bylaws and the Cooperative Association Act, the Business Corporations Act, the Societies Act, and any regulations under these acts that state otherwise.  This is the result of a ministerial order that will remain in force until further notice.

The Board of Directors is planning to continue to meet regularly in a virtual setting and we are planning arrangements to use this same technology for committee meetings and continuing education opportunities to support our Members and Associates. More information on CE events and virtual opportunities will be provided through the year.

On March 18, 2020 the Province of BC and the City of Vancouver issued a Declaration of a Public Health Emergency in the interest of best-practices to ensure the safety and well-being of our community, and in support for public health objectives.  The BCSLA staff began working remotely at the end of the business day on March 18, 2020.  The BCSLA office in the Marine Building re-opened on June 1, 2020 with physical distancing measures in place. Some staff continue to work remotely to maintain BCSLA programs services and activities. We have developed the BCSLA COVID-19 Safety Plan using WorkSafeBC Guidelines.  Our COVID 19 Safety Plan will be strictly enforced in conjunction with Oxford Properties Safer Space Protocol​​​​​s - Marine Building - Creating Safer Spaces and Marine Building Lobby Logistics.  If you plan to visit the BCSLA offices please call 604.682.5610 before your intended arrival.

The BCSLA will continue to monitor the developments of COVID 19 through the advisements and information released through the World Health Organization, our Federal and Provincial Governments, Health Authorities, and related bodies. Members seeking to connect with one another are invited to reach out through the BCSLA Facebook page or related social media platforms. We understand that this is a dynamically fluid and evolving situation and members may seek to connect on ideas and innovations of working remotely.
